CyberDental Group LLC integrates directly with QuickBooks Online to streamline your accounting workflow. Our integration automatically syncs invoices, tracks payments, and provides real-time financial visibility — eliminating manual data entry and reducing bookkeeping errors.
1. Automatic Invoice Sync
Every invoice generated through CyberDental's billing system is automatically synced to your QuickBooks Online account:
- Real-Time Sync: Invoices appear in QuickBooks within minutes of being generated, including line items, amounts, taxes, and due dates.
- Payment Matching: When a payment is received (via card, ACH, or other method), the corresponding invoice in QuickBooks is automatically marked as paid.
- Credit Notes: Refunds, SLA credits, and adjustments are synced as credit memos in QuickBooks, keeping your books accurate.
- Custom Mapping: Map CyberDental invoice categories to your QuickBooks chart of accounts for consistent reporting.
2. Expense Tracking
Keep your IT expenses organized and audit-ready:
- Categorized Expenses: Monthly subscription fees, hardware purchases, on-site visit charges, and project fees are categorized automatically in QuickBooks based on your configuration.
- Vendor Records: CyberDental Group LLC is automatically created as a vendor in QuickBooks, with all associated transactions linked for easy review.
- Tax-Ready Documentation: All synced transactions include sufficient detail for tax preparation and audit support.
- Recurring Expense Recognition: QuickBooks recognizes your monthly CyberDental subscription as a recurring expense, simplifying cash flow forecasting.
3. Financial Reporting
With CyberDental data flowing into QuickBooks, you gain powerful financial insights:
- IT Spend Dashboard: See your total IT expenditure over any time period — by category, by location (for multi-practice groups), or by service type.
- Budget vs. Actual: Compare your IT budget against actual spend with QuickBooks' built-in reporting tools.
- Year-over-Year Trends: Track how your IT costs evolve as your practice grows, helping you plan for expansions or technology upgrades.
- Exportable Reports: Generate PDF and CSV reports for your CPA, partners, or board meetings directly from QuickBooks.
4. How the Integration Works
Setting up the CyberDental–QuickBooks integration is simple and takes just a few minutes:
- Step 1 — Connect: Log into your CyberDental client dashboard and navigate to Settings → Integrations → QuickBooks. Click "Connect" and authorize access through Intuit's secure OAuth flow.
- Step 2 — Configure: Map your CyberDental service categories to QuickBooks accounts. Our setup wizard suggests default mappings based on common dental practice chart of accounts.
- Step 3 — Sync: Choose to import historical invoices or start syncing from the current billing cycle. The initial sync typically completes within 5 minutes.
- Step 4 — Verify: Review the synced data in QuickBooks to confirm accuracy. Our support team is available to assist with any adjustments.
Once connected, the integration runs automatically in the background. No ongoing manual steps are required.
5. Supported QuickBooks Versions
- QuickBooks Online — Simple Start, Essentials, Plus, and Advanced editions are all fully supported.
- QuickBooks Desktop — Not directly supported at this time. Desktop users may use QuickBooks' Web Connector or export CyberDental invoices as CSV for manual import.
6. Data Security & Privacy
The integration uses Intuit's official OAuth 2.0 API. We request only the minimum permissions required to sync invoice and payment data. We do not access your full QuickBooks ledger, employee records, or any data outside the scope of CyberDental billing. You can revoke access at any time from your QuickBooks account settings.
